Linking an app account
Connecting an employee record to a login, why the two lists exist separately, and what changes once they are joined.
An employee is a person you describe. A team member is a login. Linking joins the two.
Why they are separate at all
Because plenty of people are one without the other.
A subcontractor you put on a client pitch has a CV and a rate and appears on assignments, and may never sign in. Meanwhile an office manager who administers your workspace has a login and does no billable work at all.
Forcing every employee to hold a seat would mean paying for people who never open the product.
What linking does
Once linked, the hours that account logs are attributed to that employee. Which means:
- their time appears under their name on a shared timesheet,
- their assignment's rate applies to their hours,
- a manager viewing another person's timesheet sees the right person.
Without the link, an account's hours are not attached to any employee record, which is how a timesheet ends up looking like nobody did the work.
Doing it
On the employee, under Link app account, choose the team member.
The invitation is separate: linking connects an existing account, it does not create one. Invite somebody first under Settings, Team, then link.
The restricted case
An external contractor invited as a time tracker is the case this was built for: they get a cheap seat, they see only Time and Travel, they log hours against the projects you granted, and those hours land against their employee record with their rate on them.
