Uploading a file
Getting files in, choosing a category, and what to do about the ones that belong to a project.
Upload takes a file from your machine. There is no folder to choose, because there are no folders.
Give it a category
The category is how the file will be found later: contract, incoming invoice, receipt, image, other. It takes a second at upload and saves a search later.
You can change it afterwards, so a wrong guess is cheap. See Organizing files.
Name it like something you will search for
The filename is what search matches on. scan_20260806_final_v2.pdf is a filename that will never
be found by anybody, including you.
Rename it now or rename it later; the edit dialog does both name and category.
Files attached to something
Some files arrive attached to a record rather than uploaded here: receipts on a travel expense, attachments on a project. Those live with the thing they belong to, and the ones that are retained as evidence also appear here.
If a file is genuinely about one trip or one invoice, attach it there rather than uploading it loose. Loose files are the ones nobody can place in a year.
Size and type
Ordinary business documents and images. If an upload is refused, it is a size limit, and the fix is to compress a scan rather than to find a workaround: a 40 MB photograph of a receipt is not more legible than a 2 MB one.
