Adding tracked time to an invoice

Pulling unbilled hours onto an invoice, why some hours do not appear, and attaching a timesheet as proof.

In the editor, choose Add tracked time. Steerd offers every unbilled hour for this client, and you deselect anything you are not ready to bill.

Why an entry might not be offered

The dialog only shows time that is all four of:

  • billable (non-billable time never reaches an invoice),
  • attributed to this client, through its project,
  • priced, meaning a rate applies,
  • not already on another invoice.

The dialog tells you when hours are excluded for want of a rate: "2 h have no rate and cannot be invoiced." Those hours are not lost, they simply cannot be priced yet. Set a rate and they appear.

Attaching a timesheet as proof

Attach a timesheet as proof generates a second PDF listing the individual entries behind the invoice lines, and attaches it to the invoice. Clients who want to see the detail behind a single "40 h consulting" line usually want exactly this.

The timesheet is generated at issue and is downloadable from the issued invoice alongside the invoice PDF.

What importing does to the entries

Imported time is allocated to the invoice. It stops being available to any other invoice, which is what stops you billing the same hour twice.

That allocation is released only when the invoice is canceled by a correction. The hours then become available again, while the original invoice continues to say it billed them. Both records are true and both are kept.

Mixing sources

An invoice can carry tracked time, travel expenses, and lines you typed yourself, together. There is nothing special about a mixed invoice.
